Wage:                                   $28.00- $31.18

 

The Legal Secretary to Council provides high-level, confidential administrative, legal, and governance support to the Chief and Council of the Skeetchestn Indian Band. This role ensures the effective coordination of Council meetings, schedules, communications, policy management, and records governance. The Legal Secretary is the primary administrative liaison between Council, internal departments, neighbouring First Nations, government agencies, and external partners. A high degree of professionalism, discretion, organization, and cultural awareness is essential.

 

Key Responsibilities

Performs all duties and responsibilities in accordance with Skeetchestn Indian Band policies, practices, and procedures as directed by the Director of Operations.  Maintains confidentiality as required pertaining to members, clients, employees, and general matters of SIB.

 

Council Administration & Governance Support

  • Prepare, draft, and distribute Council meeting agendas in alignment with governance procedures and timelines.
  • Record, finalize, and file accurate and confidential minutes for all Council meetings, special meetings, workshops, and delegations.
  • Track Council motions, follow-up actions, and ensure appropriate documentation is completed and filed.
  • Maintain and update the Council calendar, including governance deadlines, events, community engagements, and external obligations.

 

Scheduling & Coordination

  • Schedule and coordinate meetings, conference calls, delegations, and public engagements for Chief and Council.
  • Manage incoming requests for Council time, ensuring alignment with priorities, strategic direction, and availability.
  • Coordinate travel, accommodations, itineraries, and logistical arrangements for Council members as required.

 

 

Communications & Liaison

  • Draft and prepare correspondence, briefing notes, invitations, and responses on behalf of Council.
  • Maintain professional communication between Council and:
    • Community members
    • Public offices (municipal, regional, provincial, federal)
    • Neighbouring First Nations governments
    • Industry and nonprofit partners
  • Support Council in preparing presentations, speaking notes, and materials for public events, delegations, and community meetings.

 

Policy & Records Management

  • Assist in drafting, formatting, and submitting policy templates, revisions, and supporting documents for Chief and Council review.
  • Maintain policy archives, version histories, and ensure all policies are stored according to the Records Management Manual and legal compliance requirements.
  • Monitor adherence to established organizational policies, recommending updates or clarifications where needed.
  • Support the implementation of governance and administrative procedures, ensuring consistent application.

 

Confidentiality & Professional Conduct

  • Uphold strict confidentiality regarding Council discussions, documents, and decisions.
  • Protect sensitive information through secure recordkeeping, controlled access, and privacy-compliant communication practices.
  • Maintain a high level of professionalism, cultural respect, and tact when interacting with community members and external agencies.

Qualifications

Education & Professional Designation

  • Legal Secretary diploma or
  • Office Administration diploma or
  • Records Management / Information Governance diploma (or equivalent)

A combination of relevant experience and education may be considered.

 

Experience & Skills

  • 3–5 years of experience in a senior administrative, legal, or governance support role.
  • Strong knowledge of meeting procedures, documentation standards, and administrative law fundamentals.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • High proficiency in Microsoft Office, Adobe, and electronic records management systems.
  • Excellent written and verbal communication skills.
  • Experience working in or with First Nations organizations is an asset.
  • Understanding of cultural protocols, community governance, and confidentiality requirements.

  • Work performed in both office and field environments, including outdoor conditions and active construction sites.
  • Must follow safety procedures, use PPE, and participate in emergency response when required.
  • Flexibility required for occasional evening/weekend work and travel for training or meetings.
