Manor - Lodge - Residencies Complexes
25 - 30 hours/wk at $35.00/hr CONTRACT (with benefits after probation)
Position duties include property and complex maintenance, as well as tenant applications and placements, general repairs and/or contractor supervision.

In co-operation with the Business Manager, Community Manager and TVMS Board of Directors, the Property Manager oversees the safe, reliable, compliant, and cost-effective operation of company facilities while managing renovation, maintenance, relocation, and capital improvement projects. This role coordinates employees, contractors, vendors, budgets, schedules, and regulatory requirements to ensure projects are completed on time, within budget, and to the required quality standards.

Key Responsibilities

Facilities Management

  • Maintain and manage Tenant Waitlist for the Manor and Residences Buildings. Identify qualifying tenants. 
  • Prior to tenant placement, process and 'vet' tenant applications. Advise the Board of Directors and arrange coordinated Board and Management placement interviews for qualifying applicant(s)
  • Oversee the daily operation, maintenance, repair, and improvement of buildings, grounds, equipment, and infrastructure.
  • Complete tenant Work Order requests, as needed.
  • Manage Common Room applications and usage.
  • Manage preventive and corrective maintenance programs for HVAC, electrical, plumbing, fire-suppression, security, access-control, and other building systems.
  • Conduct regular site inspections, identify risks or deficiencies, and prioritize repairs and improvements.
  • Ensure facilities comply with environmental requirements, and health, safety, security, and      accessibility standards.
  • Coordinate (and/or perform as needed) workplace services such as cleaning, landscaping, waste disposal, parking, utilities, and common areas.
  • Respond to urgent facilities  issues and coordinate emergency repairs or business-continuity measures.
  • Maintain accurate records of  inspections, assets, warranties, work orders, incidents, permits, and maintenance activities.
  • Plan and deliver renovations, refurbishments, relocations, installations. 
  • Coordinate contractors, consultants, vendors, and regulatory authorities.
  • Review plans, proposals, estimates, contracts, purchase orders, change orders, submittals, and      project documentation.
  • Monitor project progress, quality, costs, risks, and dependencies, escalating issues when necessary.
  • Provide Board of Directors with monthly reports and in conjunction with Business Manager, provide project updates as necessary.

Vendor Management (in conjunction with Business Manager)

  • Assist Business Manager with operating, maintenance, and capital-project budgets.
  • Obtain and evaluate competitive quotations for labour, materials, equipment, and professional services.
  • Negotiate supplier contracts, service agreements, pricing, and performance expectations with vendors.
  • Monitor expenditures, approve invoices, analyze budget variances, and identify cost-saving opportunities.
  • Evaluate contractor and supplier performance against service-level agreements, safety requirements, schedules, and quality standards.

Leadership and Communication

  • Supervise maintenance personnel, contractors, and project teams as assigned.
  • Establish priorities, assign work, monitor performance, and support staff development.
  • Communicate building needs, disruptions, project updates, and emergency procedures to occupants and leadership.
  • Build effective relationships with tenants, clients, suppliers, contractors, and public authorities.
  • Maintain knowledge of facilities policies, operating procedures, emergency plans, and safety programs.
  • Attend regularly scheduled TVMS Board of Director meetings 
  • Provide monthly written reports to TVMS Board of Directors

Qualifications

  • Relevant experience in facilities management, construction, maintenance, or project management.
  • Demonstrated experience managing contractors, schedules, maintenance programs, and facility-related      projects.
  • Working knowledge of building systems, construction practices, workplace safety, and regulatory compliance.
  • A valid driver's license 
  • A satisfactory Vulnerable Sector Police Record Check
  • A signed Oath of Confidentiality

Required Skills

  • Strong project planning, organization, and time management abilities.
  • Basic practical knowledge of HVAC, electrical, plumbing, fire protection, security, and      building-management systems.
  • Effective procurement, contractor negotiation, and cost-control skills.
  • Strong leadership, vendor management, customer-service, and stakeholder-communication capabilities.
  • Ability to diagnose problems, assess risk, make sound decisions, and manage competing priorities.
  • Proficiency with Microsoft Office and facilities, maintenance, project-management, or work-order software.
  • Ability to interpret drawings, specifications, contracts, inspection reports, and applicable building regulations.
  • Strong written documentation, presentation, and status-reporting skills.

Working Conditions

This position is primarily site-based and may require regular travel between facilities. The employee may occasionally work outside standard business hours to supervise critical project activities or respond to emergencies. The role may also involve walking through active work areas, climbing stairs, inspecting mechanical spaces, and using appropriate personal protective equipment.

Property managers commonly oversee maintenance, regulatory compliance, renovations, and relocation activities, while project-management responsibilities add formal control of scope, schedules, costs, stakeholders, and closeout.
